Job Description

Position:  Senior Administration Officer


This is a full-time position with Hope For All Church.  With the vision for church expansion we are looking for a candidate with wisdom, understanding, knowledge and skills in administrative, finance and ministry work. The role requires attention to details, confidentiality, excellent teamwork and the ability to communicate well with different members and ministry partners.  This role reports directly to the Senior Pastor.

Working Hours:

Tuesday to Friday: 9:30am – 6:00pm 

Sunday: 9:00am – 3:00pm


Manage the day-to-day operations including church phone line, church email account, office maintenance, supplies replenishment and liaison with vendors, etc.

Provide wide range of administrative support to meet the ministry needs: ordering office supplies, food & materials and making travel arrangements for ministries and events, etc.

Prepare or oversee the arrangement of presentation materials on PowerPoint or video format for Sunday services

Keep track of weekly church attendance; connect cards, calendar of events, staff  vacation, room bookings, and church member database.

Oversee office renovation projects

Supervise the part-time helper and administrative assistant for the cleaning & administration needs of the church

Update the pastors and church leaders on the latest regulations or measures (e.g. regulations relating to the pandemic) that the church needs to follow for safety & compliance.

Finance and Bookkeeping

  • Maintain full set of accounts and daily accounting operations
  • Prepare monthly financial reports for Council
  • Liaise with auditors for year-end audit
  • Provide assistance on company secretarial matters and onsite support for AGM & CAM


  • Be the liaison between church office, church partners, church ministry teams and church members.
  • Event planning, arrangement & management for ministry related events and meetings
  • Coordinate with church members for weekly volunteer rosters and send reminders
  • Communicate church updates or announcements via WhatsApp, Canva / PowerPoint, quarterly eNewsletter and website
  • Send weekly updates and/or reminders to church chatgroup for upcoming church events

Job requirements

  • Bachelor degree with minimum 3 years of relevant experience
  • Strong computer skills with proven proficiency in MS Office including Gmail, Word, Excel, PowerPoint and Google docs. Experience with Canva and ProPresenter would be a plus.
  • Good knowledge of accounting; experience in QuickBooks would be a plus.
  • Detail-minded and able to work independently and under pressure
  • Willing to work on Sundays
  • Good team player with strong self-learning drive and resourcefulness
  • Ability to maintain confidentiality
  • Highly adaptable to a dynamic and fast-paced working environment
  • Support multiple tasks and be responsive to task execution in a timely and efficient manner
  • Proactive, self-initiated to work and solve problems with a positive attitude
  • Strong spoken and written English; Spoken and written Cantonese would be a must.
